§ 09The problem

Quorum is the silent killer

Most small-HOA votes fail not because residents disagree — but because the board can’t get enough of them to respond. Paper ballots need mailing and counting. Meeting attendance is low. Email-only polls hit 20% open rates and single-digit response. When you can’t hit quorum, the board punts decisions residents actually wanted made.

§ 09What you get

Capabilities

Three poll types

Yes/no motions, single-choice polls, and multi-select surveys.

Anonymous or open

Choose blind voting for privacy or open voting for transparency.

Real-time results

Watch participation and outcomes update as votes come in.

Audience targeting

Poll all members or target by role—management, residents, workers.

Portal + email reach

Residents vote in the portal; email notifications drive turnout.

Results visibility controls

Show results always, after voting, or only after the poll closes.

§ 09How it works

From zero to running

  1. 01

    Draft the motion or poll

Pick a type (yes/no, single-choice, multi-select), write the question, set audience and visibility.

  2. 02

Distribute via SMS, portal, or both

SMS voting — residents reply with their choice. Portal voting — they click a personal link. Either way, one vote per member.

  3. 03

    Residents vote on their phone

A text like “Reply 1 for YES, 2 for NO” takes seconds. No app download, no forgotten password.

  4. 04

    Results close and archive

Live participation visible to the board; final report on close. Every ballot is logged with timestamp and method.

§ 09In the wild

What this looks like in a real association

Special assessment approval

A $500 special assessment — 2-week voting window, SMS + portal, quorum threshold displayed live to the board.

Board election

Single-choice per seat, anonymous ballots. Residents verify candidates in the portal, cast by SMS or web.

Amenity preference survey

Multi-select: which amenities to prioritize for next year’s budget? Anonymous, results released after close.

§ 09FAQ

Questions boards actually ask

Is SMS voting auditable?
Yes. Every reply is logged with the member’s number, timestamp, and the exact text they sent. Disputes are traceable back to source.
Can we require formal ballots?
For formal votes (elections, amendments), each member gets a unique per-link ballot. One vote per member enforced by the ballot ID.
What happens with non-responders?
A single reminder fires after 5 days by default (configurable). Quorum is tracked live so the board knows if a re-prompt is needed.
Can votes be anonymous?
Yes. Anonymous mode separates the ballot ID from the member ID once cast — the board sees only the aggregate.
