Spreadsheets drift; nobody owns the master list
The treasurer keeps one roster for billing. The secretary maintains another for mailings. The president has a third for emergency contacts. Ownership changes, nobody syncs, and by year-end no one trusts any of the three. The directory is the foundation — everything else (SMS, violations, polls) depends on it being accurate.

From zero to running

Load the initial roster
CSV import for clean spreadsheets; assisted migration if yours is messy. Unit number + owner name + at least one contact method is the minimum.

Assign roles and groups
Tag each member with a member_type (management, worker, vendor, resident) and granular role. Add to ad-hoc groups for targeting (e.g. Pool Access, Board Officers).

Invite residents to self-verify
Send residents their record via portal invite — they confirm phone, email, and preferences. Edits are logged.

Keep it current as units turn over
Mark departed members; never hard-delete. A 7-year retention window covers audits without cluttering live queries.
What this looks like in a real association
New owner moves in
Add the unit’s new record. A welcome SMS fires on consent capture; the old owner is marked departed with a reason.
Emergency contact list
Export every member with phone + preferred language for first-responder packets.
Board reshuffle after election
Reassign roles in seconds — treasurer → past-treasurer, board-member → president. Audit log keeps the history.
Questions boards actually ask
- How many members can the directory hold?
- Starter tops at 50 units, Growth at 200, Pro at 500. Members and units are tracked separately — one unit can have multiple members (co-owners, tenants, occupants).
- Can residents see each other’s contact info?
- Configurable. Board-only by default. You can expose a reduced view (name + unit, no phone/email) to residents if your bylaws allow.
- What about GDPR / privacy law?
- Members can request data export or deletion. Financial records retain for 7 years (IRS); other personal data is removed on request, subject to audit holds.
