§ 07Violations & enforcementGrowth and Pro

Fair, consistent enforcement your community can trust

Report violations with photo evidence, send notices, and track resolution through a clear lifecycle. Residents see their own violations and can respond directly.

  2. 04/02 08:15Photo attached · logged from the sidewalk
  3. 04/02 08:20Courtesy notice sent by SMS
  4. 04/02 08:21Delivered — receipt on file
  5. 04/09 08:00Auto-escalated — second notice
§ 07The problem

Enforcement breaks down at the paper trail

A board member logs violations in a shared Google Doc. Notices print from a Word template. Proof of delivery depends on a screenshot of an email send. When a homeowner disputes a fine, the trail is gaps and guesswork — and the board ends up waiving the notice to avoid a fight. Residents who follow the rules resent it, and CC&R enforcement degrades.

§ 07What you get

Capabilities

Photo evidence

Attach photos when reporting. Timestamped evidence your board can review.

Flexible violation types

Parking, noise, maintenance, landscaping — or define your own categories.

Status lifecycle

Track from open → notice sent → in progress → resolved or escalated.

Resident transparency

Owners see their own violations and can submit responses in the portal.

Activity audit trail

Every status change, comment, and response is logged with timestamps.

Priority & due dates

Set urgency and cure deadlines so nothing falls through the cracks.

§ 07How it works

From zero to running

  1. 01

Log the observation from your phone

Walk the property, open the case log, attach a photo. The record captures time, location, and the reporting member.

  2. 02

Notice goes out — SMS first, email fallback

Per-category notice templates fill from member data. SMS delivery receipt captures the moment it was read.

  3. 03

    Lifecycle moves automatically

Open → notice sent → cure window → escalated or resolved. Escalation rules trigger the next step if the deadline passes.

  4. 04

Resident has visibility and a response path

Owners see their own violations in the portal and can submit a response in the thread. Every action is logged.

§ 07In the wild

What this looks like in a real association

Parking violation on the sidewalk

Board member photographs the vehicle; a notice with photo goes to the owner in under two minutes, with cure window attached.

Repeat landscaping offender

Third notice in 12 months triggers an automatic escalation — fine assessed, hearing notice queued.

Annual compliance report

Filter the case log by category and year for the board’s annual meeting packet. Export CSV for the attorney.

§ 07FAQ

Questions boards actually ask

Can we customize notice templates?
Yes. Each violation category can have its own notice template with merge fields (owner name, unit, address, cure date). Templates are versioned.
How does proof of delivery work?
For SMS notices: Twilio delivery receipt with timestamp. For email: open + click tracking. For printed notices: mark-as-sent with witness.
What if a resident doesn’t have SMS consent?
The notice delivers by email and/or print. Consent is not required for violation notices (which are operational, not marketing), but delivery preference is honored.
Can residents dispute from the portal?
Yes. Owners see their case and can post a response with attachments. The thread is visible to the board queue.
